Dubsado vs Practice Better quick answer: if you handle protected health data, Practice Better is the right tool. Full stop. If you run a general coaching or service business with no clinical compliance requirements, Dubsado is excellent. The rest of this piece explains why, and what gets expensive when you choose the wrong one.
I am going to be honest with you. When a health practitioner came to me recently, after spending several thousand pounds with operational specialists, and told me that not one of them had ever mentioned Practice Better, I felt frustrated on her behalf, and frustrated with my industry.
She had Dubsado, ClickUp and Calendly. Three separate tools, stitched together with automations, all doing the job that one purpose-built platform could have handled from the start. But instead of building a system around the kind of practice she was running, they just built a system they were familiar with.
And that is the problem I keep seeing. OBMs and Ops Managers recommending the tools they are comfortable with rather than the tools that are genuinely right for the business in front of them.
I love Dubsado, I use it in my own business. But that doesn’t automatically mean it’s the right choice for health and wellness practitioners.
So if you are a health professional currently on Dubsado, or weighing up whether Practice Better is the right move, this is the honest comparison I wish someone had put in front of my client before she spent a penny. These are not interchangeable tools. Understanding that distinction is the most important thing you will take from this piece.
Dubsado is a client management and business automation platform designed for service businesses. It is exceptional at managing the front end of your client journey: proposals, contracts, invoices, questionnaires, scheduling and automated workflows that move a new client from first enquiry through to fully onboarded without you lifting a finger. It was built for brand strategists, photographers, coaches and consultants. It was not built for clinical practice management.
Practice Better is a clinical practice management platform built specifically for health professionals: dietitians, nutritionists, therapists, health coaches and anyone managing ongoing client health within a regulated environment. The EHR system, the HIPAA compliant charting, the Fullscript supplement database integration and the telehealth functionality are all native. They are not workarounds or integrations. They are the point of the platform.
Both are genuinely excellent at what they were designed for. The question is which one was designed for your practice.

This is the section that matters most for health practitioners, and it is also where the two platforms are furthest apart.
Dubsado does hold GDPR certification and complies with the UK Extension to the EU-US Data Privacy Framework. For general client data, it meets the baseline requirements for UK and US practitioners.
That covers:
What it does not cover is health data. Under UK GDPR, information relating to a person’s health is classified as special category data, which carries significantly stricter requirements than standard personal data. In the US, that same information falls under HIPAA. Dubsado was not built for that environment. For a health practitioner storing session notes, intake forms containing medical history or any form of sensitive health records, the regulatory bar is considerably higher than what its certification covers.
Practice Better is built for exactly this environment.
Out of the box, it is:
For dietitians and nutrition coaching practitioners specifically, the Fullscript integration removes a significant layer of additional admin: supplement recommendations and dispensing sit directly inside the platform alongside client records, telehealth appointments and scheduling. Nothing needs stitching together across multiple tools.
This is where my client’s situation became so frustrating to unpick. Every integration her previous advisors had built was technically impressive. It just had no business being in a health practice.
This is where Dubsado earns its reputation, and it is worth being genuinely fair about that.
For the front end of your client journey, Dubsado’s automated workflows are some of the most sophisticated available for small service businesses. You can build a sequence that moves a new enquiry through the entire onboarding process without any manual input from you:
The questionnaires are customisable, the proposals look polished, and the client experience feels considered from the very first touchpoint. For general coaching practices or service businesses where client management is the operational priority, this is hard to beat.
Practice Better’s client management is more functional than it is beautiful. The automation options are more limited and the interface is less flexible visually.
What it offers instead is a client experience built around clinical need:
For nutrition coaching and similar health practices, that structure is not a limitation. It is what the platform was designed to do.
If your practice has no clinical compliance requirements and your priority is a polished, automated client journey, Dubsado’s capabilities are excellent. If you are running a health practice where compliance is non-negotiable, Practice Better’s more structured setup is what keeps your practice protected. The aesthetic trade-off is worth it.
Both platforms operate on tiered monthly pricing and both offer a free trial so you can test before you commit.
| Dubsado | Practice Better | |
| Starting price | ~$35-55/month | ~$25/month (entry tier) |
| Pricing model | Flat monthly fee | Scales with active clients and feature level |
| Unlimited clients | Yes, on top tier | No – tiered by client volume |
| Free trial | Yes | Yes |
| Advanced features unlocked at | Top tier | Higher tiers (incl. Fullscript, group programmes) |
The more important financial question is not which platform has the lower monthly fee. It is which platform means you are not paying for a second or third tool to fill the gaps the first one cannot cover.
My client had Dubsado, ClickUp and Calendly running alongside each other. She did not need ClickUp. She never needed ClickUp. The right platform from the start would have been a fraction of the operational complexity, and a fraction of the cost.
Work through these honestly.
You handle protected health information, need HIPAA compliant charting, use a supplement database or manage patient protocols. Practice Better is the right tool. This is not a close call.
You run a general coaching or service-based practice with no clinical compliance requirements, and your priority is a polished, automated client journey from first enquiry through to onboarding. Dubsado is an excellent choice.
You are currently using Dubsado in a health practice that involves protected health information. The time to review your setup is now. Not because Dubsado is a bad platform, but because using the wrong tool for your specific practice will always create more admin, more risk and more cost than getting it right from the start.
Ultimately, the best operational setup is the one that was chosen for your business. Not the one someone else knew how to build, and not the one with the prettiest interface. You have a choice here, and it is worth making it with full information rather than a group chat recommendation.
That is exactly the kind of thing we look at in our Digital Transformation service. We will go through your operational tech stack, identify where tools are creating unnecessary admin, and set up a system that genuinely fits the way your business works. Get in touch to find out more.
